Job Title:  Resident Accounts Coordinator (Hybrid Position)

Location: Bowie State University Student Housing Operations  

Reports to: Associate Director of Campus Housing  

Salary: $30-$34 per hour and a competitive benefits package. 

FLSA Status: Non-Exempt  

Summary

The Resident Accounts Coordinator is responsible for all aspects relating to the processing of accounts payable and accounts receivable for the residential communities at Bowie State University (BSU), approximately 2000 residents. Duties include but are not limited to posting payments, managing resident financial aid related to housing in close collaboration with BSU, collecting rent, issuing receipts, entering, and processing invoices, researching accounts, reception, and project-based work. Maintaining a customer-focused and professional image through in-person, electronic, and telephone communication with all internal and external customers is essential. 

Essential Duties and Responsibilities

  • Receive resident payments and issue receipts.
  • Collect payments on past-due accounts and document progress weekly.
  • Send correspondence to residents regarding financial information on their accounts (e.g., letters, emails, collection calls, and door notices).
  • Work closely with BSU to ensure resident financial aid is applied to housing charges accurately and in a timely manner.
  • Manage the verification and billing process to maintain accuracy and timeliness.
  • Educate residents about the financial aid process and help prevent delinquency through proactive outreach.
  • Complete weekly reports for site owners and university stakeholders on aged receivables, license cancellations, and delinquency.
  • Provide support to front desk operations as needed, including conducting tours, receiving packages and mail, and answering phones.
  • Conduct regular audits of student accounts in the property management software system to ensure accuracy and completeness
  • Utilize the property management software system to manage all aspects of student accounts, including account creation, move-ins/move-outs, assessing charges/credits, and reconciling payments.
  • Run the Delinquency Report in the property management software system and submit it to supervisors and the Regional Manager/VP by the 20th of each month.
  • Process the financial close of each fiscal month by running all required reports for each property.
  • Collaborate with site maintenance staff on turn processes, damage inspections, vendor coordination, work orders, and payment processing.
  • Create and process resident invoices as needed.
  • Complete daily bank deposits and maintain accurate records of all deposits, payments, and resident charges.
  • Maintain a filing system for confidential information and ensure records are organized.
  • Order office supplies as needed or requested by a supervisor.
  • Serve as essential personnel during major campus emergencies (e.g., pandemics, inclement weather, fires, natural disasters).
  • Handle NSF (non-sufficient funds) check returns, including account entries and communication to residents.
  • Provide accurate reports on past-due accounts and assist in collections, including court filings and attending court proceedings as necessary.
  • Prepare appropriate records for eviction proceedings.
  • Perform other duties as assigned.

Work Hours:
This position is classified as hybrid, requiring staff to work in the office at least three days per week and allowing up to two remote workdays. Standard working hours are Monday to Friday, 9:00 AM to 5:00 PM EST. Staff may be required to work fully in person based on office demands or other circumstances. Staff will frequently communicate through virtual meetings and must provide regular progress updates to management while working remotely. A reliable internet connection, maintained at the employee’s expense, is required. A laptop will be provided. The remote work schedule must be approved by the supervisor in advance.

Work is usually performed within an office environment, with standard office equipment available.  The work environment is mid to high-paced.  The ability to work overtime during key operational times is necessary.  The noise level in the work environment is usually moderate.

  • High school diploma or general education degree (GED). Bachelor’s degree and relevant experience preferred.
  • 3-4 years’ clerical experience.  
  • Have knowledge of Microsoft Word, Excel, and Outlook.
  • Ability to operate basic office equipment including photocopier, fax, and telephone. Basic typing and computer skills.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to effectively communicate and work with residents, students, staff and campus partners.
  • Ability to work with a diverse population.
  • Ability to learn to efficiently operate proprietary programs related to student housing.
