Job Title: Desk Assistant
Location: The Row near San Diego State University
Reports to: Director of Operations
Salary: $18.00-$20.00 per hour and comprehensive benefits package
FLSA Status: Non-Exempt
Summary
The Desk Assistant is the front line of contact for The Row and Sanctuary Suites. They are responsible for positively assisting all residents and guests by providing a comprehensive customer experience. The successful candidate has the ability to critically think and use proper problem-solving skills to assist residents as needed.
Essential Duties and Responsibilities
- Greet residents, visitors, and vendors in a welcoming manner.
- Answer incoming phone calls, determine the purpose of callers, document interactions as needed, and resolve inquiries or route calls appropriately.
- Respond to and follow up on emails sent to the community account in a timely manner.
- Provide accurate information about the community, policies, procedures, and services.
- Take and relay messages to appropriate personnel.
- Assist residents with basic account inquiries and provide support related to billing and collections.
- Process payments and issue receipts in accordance with company policies and procedures.
- Maintain organized resident files and documentation.
- Perform data entry and maintain accurate records within the housing management system
- Operate office equipment and computer systems to input, retrieve, and manage data.
- Receive, sort, and distribute incoming mail and packages (federal, campus, and carrier deliveries).
- Prepare and process outgoing mail and community mailings.
- Coordinate office supply inventory and order materials as needed.
- Support leasing activities, including inquiry response, prospect assistance, and administrative preparation.
- Assist with move-in and move-out processes, including documentation and key distribution tracking.
- Provide administrative support for marketing initiatives, special events, and peak operational periods.
- Support site leadership with special projects.
- Maintain confidentiality and professionalism in all interactions.
- Perform other duties as assigned to support the efficient operation of the housing community.

Education/Experience/Skills Required:

- High school diploma or general education degree (GED).
- 2-3 years’ clerical experience.
- Proficiency in Microsoft Word, Excel, and Outlook; ability to operate office equipment including photocopier, fax, and telephone.
- Knowledge and understanding of organization structure, workflow, and operating procedures.
- Knowledge of administrative and clerical procedures and systems such as managing files/records and other office procedures and terminology.
- Good organization and communication skills.
