Job Title: Residential Services Coordinator

Location: Illinois Central College (East Peoria, IL)  

Reports to: Director of Housing & Residence Life 

Salary: $17.00-$18.00 per hour, two-bedroom apartment, and a comprehensive benefits package  

FLSA Status: Non-Exempt 

Summary

The Residential Services Coordinator is primarily responsible for engaging with visitors, answering/directing telephone calls, processing mail/packages, performing clerical tasks (typing, filing, copying, etc.), conducting tours, key checkouts/check ins/audits, passive programming efforts and overseeing office/facilities supply inventories/office equipment. They provide support for marketing efforts, accounts payable, student account inquiries, collection efforts, and data entry into resident account database.  The Residential Services Coordinator must handle the various needs of the office while maintaining confidentiality, initiating conversations, work collaboratively with others, and represent Campus Housing in a positive light to encourage prospective residents to live on campus. 

Illinois Central College (ICC) is a community college located in East Peoria, IL.  Campus Housing, owned by the ICC Foundation LLC, provides apartment-style living to students of ICC and local interns.  The community consists of 328 beds (120 units) and serves a diverse range of students.  

Essential Duties and Responsibilities

Office Administration: 

  • Answer and direct phone calls as appropriate. 
  • Receive and process incoming and outgoing mail/packages. 
  • Complete bi-weekly package & key audits to maintain accurate inventories. 
  • Check, reply, and forward e-mails received. 
  • Maintain and use office equipment as needed: phone, postage, copier, scanner, and computer. 
  • Perform clerical duties as needed: filing, photocopying, maintaining accurate records, etc. 
  • Manage work orders: write requests, file completed work orders, etc.  
  • Welcome on-site vendors. Determine the nature of business and update staff appropriately.  
  • Maintain updated vendor files. 
  • Maintain office and facilities supply inventory and coordinate office and facilities supply orders.   
  • Receive and upload invoices/receipts in a timely manner. 
  • Maintain/update office documents such as forms, key logs, equipment log, work orders, etc. 
  • Be a customer service representative of the community: answering questions, directing residents to campus resources, etc. 
  • Assist with training and scheduling of student staff for evening desk hours.   
  • Assist with passive programming efforts. 
  • Provide immediate assistance for walk-in situations or inquiries, including roommate mediation and disciplinary issues, in conjunction with the Assistant Director. 

Marketing and Leasing: 

  • Assist & participate in marketing events for Campus Housing such as New Student Orientation, Campus Visit Days, Info Sessions, weekly tabling at ICC, etc.  
  • Assist residents with the electronic application and intention renewal processes. 
  • Assist with application and contract audits. 
  • Conduct tours of the community. 
  • Assist with weekly and monthly reporting. 

Other Duties:  

  • Assist facilities to ensure apartments are turned and move in ready for residents. 
  • Assist with RA programing and training. 
  • Participates in afterhours on call emergency response rotation which requires the Residential Services Coordinator to be within a 30-minute response radius of the community. 
  • Other duties as assigned. 

Work Hours:
Monday-Friday 8:00 am – 5:00 pm with additional responsibilities in the evenings and weekends as needed.

  • High school diploma is required. Bachelor’s Degree is preferred. 
  • Demonstrated residence life experience and work with on-campus student populations. 
  • Demonstrated experience in clerical and customer service. 
  • Strong written communication skills to interact with campus partners, students, staff, families, and community members.   
  • Proficient in Microsoft Office (Word, Excel, Outlook, etc.).
  • Capacity to manage competing priorities. 
  • Ability to work with a diverse population will be necessary for success. 
  • Team player and willing to assist in other areas when needed.
